HRIS Analyst Career: How to Get Into Workday and HR Systems Roles

By CareerCola Editorial Team Published

An HRIS analyst looks after the systems HR runs on: employee records, organisation structures, hiring, onboarding, leave, performance reviews and often the data that feeds payroll. HRIS stands for human resource information system. In large companies that system is often Workday, SAP SuccessFactors or Oracle HCM. The analyst configures it, keeps the data clean, builds reports, tests changes and helps HR teams when something does not work.

It is a good mix of HR and technology. People come in from HR operations, payroll, recruitment operations or IT support, and some start straight out of college in HR tech consulting.

What a typical week looks like

  • Fixing data problems, such as a manager showing the wrong team or an employee missing from a report
  • Configuring business processes, for example adding an approval step to a job change
  • Building and maintaining reports and dashboards for HR and leadership
  • Testing system updates before they go live. Workday, for instance, releases major updates twice a year.
  • Supporting integrations with payroll, benefits providers and other systems
  • Writing user guides and answering HR team questions

Workday, SuccessFactors and others

The work is similar across platforms, but skills are tied to the system. Workday roles often split into functional areas such as Core HCM, Recruiting, Compensation, Absence, Time Tracking and Reporting, and technical areas such as integrations. SuccessFactors and Oracle have their own module names. Listings usually say which platform and modules they want.

A note on certifications: Workday's official training and certification has generally been available through Workday customers and partners rather than open to anyone. Check Workday's current policy before you pay for an outside course claiming to give "Workday certification". Many third-party courses teach the concepts, but they are not the same as official certification.

Skills employers ask for

HR process knowledge. Hire, transfer, promotion and exit, and what data each changes. If you have worked in HR operations, this is your advantage.

Data and reporting. Excel is essential. Report building inside the HR system, and sometimes SQL or Power BI, comes next.

Testing discipline. Writing test cases, recording results and checking edge cases.

Data privacy awareness. You will see sensitive personal data. India's Digital Personal Data Protection Act and company policies affect how that data must be handled, so expect questions on access control and confidentiality.

Routes in

From HR operations or payroll. Volunteer to be the "super user" for your HR system, help with testing during updates, and learn its reporting tool. After a year you will have real HRIS experience to show. Our payroll specialist guide covers the payroll side of that path.

From IT. Application support roles often include HR systems. Learn the HR processes behind the tickets.

Through consulting. Implementation partners hire graduates and train them on a platform. It is demanding but builds skills quickly. Check what the training covers and whether the role comes with a service bond; our guide on service bonds in offer letters explains what to look for.

Interview questions to prepare

  • Walk me through what happens in the system when an employee changes department.
  • How would you test a change to the leave approval process?
  • A leadership report shows the wrong headcount. How do you investigate?
  • How do you make sure only the right people can see salary data?

On CareerCola, search for "HRIS", "Workday", "SuccessFactors" and "HR technology", and check both the IT and technology and administration categories. For HR roles more broadly, see our HR recruiter career guide.

FAQ

Can a fresher become an HRIS analyst?
Sometimes, especially through HR technology consulting firms that train graduates. More often, people move into HRIS after a year or two in HR operations, payroll or IT application support.
Is HRIS an HR job or an IT job?
It is both. Some companies place HRIS in the HR team and others in IT. The work needs HR process knowledge and system and data skills.
